Roles and access: how Neev controls who can do what

What roles are, the seven built-in roles at a glance, and how permissions decide which screens and actions each teammate gets.

Overview

You don't want your delivery rider editing prices, or your counter operator voiding an invoice. Roles fix that. Every teammate you invite gets a role, and that role decides exactly which screens they see and which buttons they can press. Set it once when you invite them; Neev enforces it on every screen, on web and on the phone.

Where to find it

Roles live under Settings → Team, at the route /settings/team. You invite a teammate, pick their role, and share the link.

Only the Owner sees this screen and the invite / change-role controls. Other roles never see Settings at all — Settings is Owner-only across the whole platform. The same role then follows the teammate onto the mobile field apps (sales, warehouse, delivery, admin), so a packer on the warehouse phone gets the warehouse view, not the owner's.

Key concepts

A role is just a named bundle of permissions — small allow-keys like orders.create or invoicing.mark-paid. A teammate's real power is the union of every permission in every role assigned to them: if any one of their roles grants an action, they can do it.

Neev ships seven built-in (system) roles: OWNER, MANAGER, OPERATOR, ACCOUNTANT, WAREHOUSE, DELIVERY, SALES. They are seeded for your business the moment you sign up, and the person who creates the business is made Owner automatically.

There is no secret "super-admin" switch. Owner can do everything because its role literally holds a key for every permission in the platform — not because of a bypass. The only things even the Owner doesn't hold out of the box are Pack permissions (Pharma, Dairy, Quick Commerce): those bind to the Owner only after you install that Pack.

Common workflows

Invite a teammate

Go to Settings → Team and hit Invite member. Enter their phone number (the +91 field) or email, pick a role from the list, and send. They get an invite link over WhatsApp or email.

Pick the right role

Match the role to the job: Manager runs operations, Operator takes phone orders, Accountant handles money, Warehouse packs and moves stock, Delivery rides out, Sales works customers and quotations.

Change someone's role later

On the Team list, use the role dropdown next to a member to switch them to a different role. The change takes effect on their next screen.

Remove access

Use Remove next to a member to cut their access immediately, or Revoke a pending invite link that hasn't been accepted yet.

The grid below is the short version of who can touch what. Read it as the default for each built-in role — the Owner can always widen a role later in the permission editor.

  • Owner — full control of the business. Holds every non-Pack permission, and is the only role that can manage the team, change settings, void invoices, edit HSN rates, or blacklist a customer.
  • Manager — runs day-to-day ops: orders, returns and intake end-to-end, plus customers, inventory, invoicing, pricing and read-only reports. Cannot void an invoice, edit HSN rates, archive a supplier, or touch any platform admin (team, settings, roles).
  • Operator — front desk. Can look up stock, price and customers and key in an order draft, but cannot confirm, dispatch, pack or cancel an order, cannot edit master data, and has no money surface.
  • Accountant — finance and collections. Records payments, generates invoice PDFs and payment links, and reads financial + Tally reports. Cannot void or raise invoices, cannot change pricing, and has no orders, inventory or dispatch access.
  • Warehouse — the stock floor. Reads orders, packs them, and owns stock movement (receive, adjust, transfer, receive returned goods). Cannot create, confirm or dispatch orders, cannot edit the product master, and has no invoicing or payment access.
  • Delivery — the most restricted role. Read-only on exactly two things — orders and invoices — so the rider sees what to deliver and the invoice that rides along. Despite the name, Delivery does not hold the dispatch action; dispatch stays with Manager and Owner.
  • Sales — the front of the sales motion. Parses and drafts orders, manages customers and addresses, runs quotations end-to-end, and chats on WhatsApp. Read-only on inventory and pricing; no general invoice access (it can't even view invoices), no stock and no returns.

Tips & time-savers

Tip

Invite by phone number, not email — Neev sends the invite link straight over WhatsApp, so a 10th-pass teammate joins by tapping a chat message instead of hunting through an inbox. The +91 prefix is already filled in.

A teammate can hold more than one role. If your accountant also runs the counter some evenings, give them both ACCOUNTANT and OPERATOR — they get the combined powers of both, no custom role needed.

Gotchas

Warning

You can't remove the last Owner. Neev blocks unassigning the OWNER role from the only person who holds it — otherwise the business would be locked out of Settings forever. Promote a second Owner first, then change the first one.

The role list on the invite screen does not include OWNER — you can't hand out Owner from the dropdown. Make someone an Owner by changing an existing member's role, and remember everyone who holds it can manage the whole business.
